Job Description

Duties and Responsibilities: 

  • Sort and categorize documents based on predetermined criteria.
  • Ensure that documents are filed accurately and in a timely manner.
  • Maintain a systematic and organized filing system.
  • Regularly update and maintain records to reflect changes or additions.
  • Retrieve requested documents promptly and accurately.
  • Keep a log of document requests and ensure timely fulfillment.
  • Handle confidential information with discretion and ensure compliance with data protection policies.
  • Maintain security measures to safeguard sensitive documents.
  • Scan and digitize documents for electronic storage when required.
  • Manage electronic databases and ensure proper indexing of digital files.
  • Collaborate with Engineering and Land to understand their filing and records needs.

Knowledge, Skills, and Abilities: 

  • High School Diploma required
  • 3+ years of file room experience preferred
  • Effective written and verbal communication skills
  • Detail oriented and highly organized with an ability to manage information, time and prioritize tasks to maximum efficiency
  • Ability to research information and willingness to communicate, cooperate, and coordinate with others
  • Proficient in all Microsoft Office Products, Quorum systems 
  • Understanding of lease records, land contracts, division orders, land related obligations
  • Strong computer skills, particularly in Excel
  • Strong analytical skills, attention to detail and multi-tasker
  • Must have the ability to prioritize workload and work with minimal supervision
  • Must have effective communication and organization skills
  • Ability to work independently or in a team, with office staff and various agencies
  • Ability to work in time-sensitive environment to meet ongoing deadlines
  • Ability to lift approximately 35-50 lbs.
